Bring the site details into the conversation
Start with the address, intended use, requested dates and an on-site contact. Describe the access route and the available standing area, including gates, surface conditions and any time restrictions.
Ask what is included in the arrangement, what you need to prepare and how changes will be handled. Availability, delivery and collection windows are confirmed for your location; a quote request is not a reservation.
Coordinate with the rest of the rental
If you also need portable toilets or handwashing, include those in the same request. Coordinate placement so one delivery does not block another supplier or an ongoing service visit.
Start with the layout under the tent
A seated meal, standing reception and service area use space differently. Describe seating, aisles, equipment and other activities rather than providing attendance alone. Include the proposed position and any access restrictions for installation and removal.
Discuss the site as well as the structure
Ask the supplier to confirm suitable setup arrangements for the actual surface and location. Share known property restrictions and coordinate any venue permissions or utility requirements. Do not assume a tent order also includes flooring, lighting, furniture or other event accessories.
Questions worth asking before booking
What should I include with a tent inquiry?
Send the event dates, expected layout, location and surface description. List the accessories you need so they can be discussed explicitly instead of presumed to be part of the tent rental.
